Notion + AI For Solopreneurs: From Friction to Clarity in Your Solo System of Work

A 3.5 hour, hands-on workshop for solopreneurs, facilitators, coaches, consultants and independent creators who are tired of running their business from memory. Hosted by SignalWorks Asia on Saturday 18 July 2026, 9am to 12:30pm, at the INNOVATION Room by FOCUS Adventure in Amara Sanctuary Resort Sentosa, the session uses Notion and AI to turn messy task lists, scattered workflows and fragile client follow-up into a simple solo system of work you can see and trust. Participants build with their own real examples, not hypotheticals, and leave with a live workflow board, a minimum viable client and partner tracker, a weekly review ritual, and one linked command centre page in Notion that gives a single picture of their solo business.

What I covered

This was a co-led session. Saba opened the room, handled introductions and kept the day moving. My part was the opening arc, setting up the problem and the map before the hands-on sprint. Through the demo and the build itself, Saba, Sasi and I all worked the room, sitting with participants to help them think through how to solve their own problems.

  • Why the workshop exists. Named the three frictions every soloist knows: rework, delay, and quiet anxiety.
  • The hidden tax. Why relying on memory instead of a system quietly costs time, energy, and trust.
  • The desired state. Clarity is coherence, not perfection: a system trustworthy enough to rely on and honest enough to update.
  • The 2x3 Solo System of Work. The map for the morning, three areas (Workflows, Relationships, Sensemaking) moving from "in my head" to "in my tools".
  • I demoed my own live dashboards to show what a coherent system looks like in practice: keeping track of time, capturing work by voice, and using AI to help plan the road ahead. It was deliberately less theory and more practical building, the kind of demo that pulls people straight into the sprint.

From there, Saba and the team carried the remaining demos, the four-challenge build sprint, the debrief, and the closing commitments.

  • Start from the problem, not the tool. Learning Notion from scratch is hard. Naming a real pain point, writing down what solopreneurs actually struggle with, then using AI to work out the fundamentals and the databases you need, pulls clarity out of your head and into a working system far faster. The act of doing the work is what produces the learning.

Outcome

Everyone left with at least one working piece built from their actual business, and most moved at least one row of the 2x3 from left to right. The room named its own patterns too: workflow clutter was higher than expected, relationship tracking was fragile, and structured sensemaking rituals were mostly missing before today. Feedback was strong, with an overall experience score of 4.7 out of 5.
